Cutting costs and keeping control of business accounts is a good way to increase efficiencies and reduce fraud. When a company outsources check writing there is little control once the proper payroll records are submitted. If, however, a company were able to use a mobile on-demand check writing unit, real time control and accuracy could be used to reduce costs and improve efficiency.
High levels of security
Just because an on-demand check writing unit provides better efficiency and control does not mean that it can forego the security required to make it fraud proof. Software packages, that guide line placement and printer ink recognition, help to make units of this type more secure. To say a unit of this type is fraud proof may be misleading, but the units are extremely secure in this regard. Ink is manufactured to exacting standards so that financial institutions can tell the difference between regular ink and MICR ink. Printers work with provided software so that each line is where it needs to be on a check when its electronic reading is taken.
Keeping control
In many instances, control is lost once something leaves your business and is put into anothers hands. Choices are being made that you may or may not approve of. With on-demand printing or checks, the control is maintained. This control, however, does not mean that you will be tethered to an office. Many printing on-demand units can be accessed remotely so that you can see the checks being written as it happens. If there happens to be an error you will see it on a screen and be able to correct amount, name, printer line placement, low ink cartridge warning or any malfunction indicating possible tampering. The point being, you have total control whether you are at the mobile unit or not as the checks are printing.
Multiple locations
Perhaps one of the larger advantages of using on-demand check writing is that you can accomplish payroll or disbursements to multiple locations all from one central computer unit. You do not need to go from division to division printing checks for that division. Simply set up the cue at your home base and send to separate units at those divisions.
Just good business
On-demand check writing is just good business. Most companies have been seduced by payroll companies into thinking that only they can get the job done. Technology is quickly proving them wrong and putting a dent in their business. If you have not given a thought about on-demand checking it is about time you did. Better efficiencies are the hall mark of a well run business. Not incorporating all of them is understandable; not incorporating the easy and most accessible when they are available is not.
